Finance

Finance clarity, without the month-end scramble.

The books are current because the business posts to them.

Every order, receipt, movement and invoice lands in the same set of books as it happens. Finance agents reconcile, monitor and analyse as the business runs, so the numbers you open are today’s rather than last month’s.

The idea

The books keep themselves current.

Finance agents reconcile, monitor and analyse as the business runs, so the numbers you open are today's. What needs judgement is queued with the evidence behind it; nothing posts to the ledger without you.

The business posts to the books as it trades

Nothing waits for a month end. Each event posts as it happens, corrections post as new entries referencing the original, and the close pack is drafted while the month is still running.

Close packDrafted dailyautomated close routine

A correction is a new entry, never an edit. It references the original, so the history of a figure is the figure, and nothing can be quietly changed away.

Financial visibility

Revenue, margin and cash read straight from the ledger — not from a report someone rebuilt on Monday morning.

The routine posting, automated

Bank lines, supplier invoices and journals handled continuously, with anything ambiguous left for a person rather than guessed at.

Reconciliation and control

Every control re-runs as the data changes, so a break is caught on the day it happens rather than at month end.

Close with confidence

Accruals, prepayments and the close pack drafted as the month runs, so close starts finished rather than starting.

Finance Core

The ledger everything else already posts to.

Every order, receipt, movement and invoice lands in the same set of books as it happens — so the figures reconcile on their own rather than at month end. Exports to your accountant ship today; the in-app ledger is in beta with early-access teams.

  • Chart of accounts — your own structure, with postings raised automatically as orders and receipts land.
  • Bank & reconciliation — statement import, auto-matching against open invoices, and queries raised on what will not match.
  • VAT & tax — return-ready boxes built from live postings, with the treatment checked line by line.
  • Journals & period close — accruals, prepayments and a close pack prepared for review, with per-module period locks.
  • Cost centres & budgets — analyse spend and margin by centre, project or location against a budget you set.
  • Append-only audit trail — nothing is edited away. Corrections post as new entries, so every figure traces back to what caused it.
  • Anomalies caught as they happen — entries outside the normal pattern are held and explained rather than posted quietly.
  • Duplicate detection — supplier invoices that look like repeats are paused before the payment run, with the pair shown side by side.
  • Accountant handoff — clean exports in the shape your accountant already works in. See accountant handoff.
The agents

Each lane has its own agent, and its own evidence.

Finance runs in the background — spotting breaks, preparing entries and finishing the routine work before you ask. When something needs judgement, it arrives with the reasoning already done.

Bank Recon Agent

Imports the statement, matches lines against open invoices, and raises queries on what will not match rather than forcing it.

Invoice Agent

Reads supplier invoices, three-way matches them against the order and the receipt, and holds anything that looks like a duplicate.

GL Advisor

Watches the ledger for entries outside the normal pattern and explains what is unusual about each one.

Close Agent

Prepares accruals, prepayments and the close pack as the month runs, and tracks the checklist to completion.

FAQ

Frequently asked questions.

Is Cobalt ERP's ledger a replacement for Xero or QuickBooks?

It is heading that way, but not yet for everyone. The syncs to Xero ship today and are what most teams use. The in-app ledger is in beta with early-access teams — if you want to run your books inside Cobalt ERP, ask us where the beta is up to.

What happens to my existing accounting software?

Keep it. Cobalt ERP produces VAT-ready invoices and clean exports in the shape Xero, QuickBooks and Sage already expect, so your accountant's workflow does not change.

Can an agent post to the ledger without me?

No. Posting to the ledger is not on the autonomy ladder at any rung, and there is no setting that puts it there. A finance agent prepares the entry, attaches the evidence it reasoned from and queues it; a person posts it. The same rule covers approving controlled transactions, executing payments, changing bank details and closing a period.

How is an append-only trail different from an audit log?

An audit log records that something changed. An append-only ledger never changes anything — a correction is a new entry that references the original, so the history of a figure is the figure. Nothing can be quietly edited away.

Does it handle VAT?

Yes. Return-ready boxes are built from live postings, with the VAT treatment checked line by line as documents are raised rather than reconstructed at quarter end.
