Orders from a chat, checked by you.
Your customer messages your number, picks from your live product list, and the order lands in your approval queue. They do the ordering; you do the deciding.
- Repeat order capture — buyers reply to a numbered list of your live products instead of phoning an order in or emailing one to be re-typed.
- Customer matching — Cobalt links the message to the right customer record and their agreed pricing.
- Order review — the order arrives submitted rather than confirmed, priced on their agreed price list, with live stock shown.
- Seller approval — nothing is committed until your team approves it; then stock is reserved and the order proceeds.
- One workflow — approved WhatsApp orders become normal sales orders, so the rest of the flow is unchanged.
Faster orders for small distributors.
For repeat wholesale buyers, WhatsApp is already the norm. Turning those messages into clean orders saves hours and avoids mistakes.
Stop re-keying phoned-in orders. The buyer picks from your live product list and the order arrives ready for you to approve.
Every order is reviewed and approved before stock is committed, with live pricing and availability shown.
Customers order in a familiar channel, so repeat orders happen faster with less friction.
WhatsApp ordering, in early access.
Part of the same order workflow as everything else in Cobalt.
WhatsApp ordering is included on every plan and runs the same order workflow as everything else in Cobalt, right alongside sales orders, purchasing, stock and invoicing in one system.
Two things worth knowing while it is in early access: your team registers each buyer’s WhatsApp number (there is no self-signup), and we are still on Twilio’s WhatsApp sandbox, so a new buyer sends a one-time join code before their first order. Ordering itself is a numbered product list, not a chatbot — there is no AI interpreting free text, which is exactly why it cannot mis-read an order.
Frequently asked questions.
What is WhatsApp ordering software?
It lets approved trade customers reorder over WhatsApp instead of phoning or emailing. They pick from a numbered list of your live products, and the order lands in Cobalt priced on their agreed price list for your team to approve.
Is WhatsApp ordering available now?
It is included on every plan and working today, but it is still early access: your team registers each buyer's number, and we are on Twilio's WhatsApp sandbox while we finish Meta Business verification, so buyers send a one-time join code the first time. Orders themselves go through the normal approval queue.
Do I have to accept whatever the customer sends?
No. Every WhatsApp order is created as a draft for your team to review and approve before any stock is committed.
Does it use the right prices for each customer?
Yes. Cobalt matches the message to the customer's record and applies their agreed price list to the draft order.
Who is WhatsApp ordering best for?
Small wholesale and distribution businesses with repeat buyers who already place orders over WhatsApp and want to capture them cleanly without manual re-keying.
Does it replace the rest of my order process?
No — approved WhatsApp orders become normal sales orders in Cobalt, so stock, approvals and invoicing work exactly as they do for any other order.
