What we collect on this website, why we are allowed to hold it, how long we keep it and what you can ask us to do about it.
Who we are
Cobalt ERP (“Cobalt ERP”, “we”) provides operational ERP software at cobalterp.com and app.cobalterp.com. Company and registered office details are available on request.

This notice covers the marketing website and access enquiries. When you use Cobalt ERP to run your business, you are the controller of the records you put into it and we are your processor — that relationship is governed by the data processing agreement, not by this notice.
What we collect on this website
Demo requests and contact. If you book a demo or email us, we hold the name, email address and any message you send so we can respond to your enquiry.
Technical data. Our host records standard server logs — IP address, user agent, the page requested and the time — to serve the site and to protect it from abuse.
What we do not collect. This website sets no advertising cookies, runs no third-party trackers, and does not build a profile of you across other sites. There is no cookie banner because there is nothing to consent to.
Why we are allowed to hold it
Legitimate interests for replying to an enquiry, handling demo requests, and keeping the site available and secure. Each processing activity has a recorded legal basis and appropriate safeguards.
Consent for product announcement emails, which you can withdraw at any time using the unsubscribe link or by emailing us.
Legal obligation where we are required to keep records, for example for tax.
How long we keep it
Demo requests and email correspondence are kept only for as long as we need them to reply and keep a record of the conversation. Server logs are kept for a limited period for security and then deleted. The retention period for each category is available on request.
Ask us to delete your data and we will, unless we are legally required to keep it — in which case we will tell you which obligation applies.
Who else sees it
Infrastructure and service providers process data to deliver the service. The sub-processor list, with processing locations, is available on request. We do not sell personal data or share it with advertisers.
Where a provider is outside the UK or EEA, the transfer relies on an appropriate safeguard, such as the UK International Data Transfer Addendum, the EU Standard Contractual Clauses or an adequacy decision.
Your rights
Under UK GDPR you can ask for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, object to processing based on legitimate interests, ask us to restrict processing, and ask for your data in a portable format.
Email support@cobalterp.com and we will respond within one month. If you are not satisfied with our answer, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes
If we change this notice we will update the date at the top of the page, and for anything material we will notify affected contacts by email rather than changing it quietly.
