What is Cobalt ERP?

Cobalt is a simple, lightweight, cloud-ready ERP for small teams and SMB distributors. It runs the whole buy · stock · sell cycle — sales orders, invoices, purchase orders, receiving, live stock across locations, and approvals with a full audit trail — in one tidy system instead of seven spreadsheets.

Who is Cobalt for?

Small teams and growing SMB distributors who have outgrown spreadsheets but don’t want a six-figure, consultant-led ERP. If you buy stock, hold it across one or more locations, and sell it on with invoices and VAT, Cobalt fits.

How does taking orders from WhatsApp work?

Your customer texts your WhatsApp number and replies to a numbered list of your live products. Cobalt applies their agreed prices, VAT and stock, then queues the order for your approval. One tap approves it; stock is issued and the invoice follows automatically. It is in early access: your team registers each buyer's number first.

Can I manage sales orders and purchase orders?

Yes. Cobalt runs the full order workflow: quotes, sales orders with approvals, purchase orders, goods receipt and supplier invoices with 3-way match — each with live stock and pricing on every line.

Does Cobalt ERP include inventory?

Yes. Live stock is built in across one or more locations and updates automatically with every sale, receipt and adjustment — no separate inventory app to bolt on or keep in sync.

Is Cobalt ERP an alternative to Xero?

Not quite — it's complementary. Where Xero is accounting software, Cobalt is operational ERP: it runs your quotes, sales orders, purchase orders and live stock, then exports clean figures to Xero or your accountant. Many teams keep Xero for the books and run the day-to-day in Cobalt.

Does Cobalt ERP replace QuickBooks?

Cobalt replaces the spreadsheets and bolt-on inventory apps around QuickBooks — sales orders, purchasing, stock and invoicing in one place — and exports cleanly so QuickBooks or your accountant handles the final accounts. It’s an operational ERP, not a drop-in bookkeeping replacement.

Can my accountant export the data?

Yes. Everything exports to CSV — customers, products, invoices and ledger figures — and higher plans add direct Xero, QuickBooks and Sage integration, so your accountant gets clean numbers without re-keying.

Is WhatsApp ordering included?

Yes, on every plan. Buyers reply to a numbered list of your live products and the order arrives priced and ready for one-tap approval. It is early access — your team registers each buyer's number, and new buyers send a one-time join code while we complete Meta Business verification.

How long until we’re live?

Usually under a week. Cobalt is self-serve — import your data on day one, set your rules, invite your team, and take your first real order, typically inside five working days. No consultants needed, and no implementation fee to earn back.

Does Cobalt handle UK VAT?

Yes. VAT is calculated automatically on orders and invoices, and the figures export cleanly — VAT totals, chart of accounts, bank reconciliation and reports — ready for your accountant to review and file. The accounting module is in beta for early-access teams.

Can I export my data? Is there any lock-in?

No lock-in. Your data is yours and you can export it anytime, plus a REST API and webhooks keep everything else in sync. There’s no contract to escape and no setup invoice to recover.
